Guest transportation planned around your timeline
Wedding transportation is judged on two moments: whether guests arrive before the ceremony starts, and how long anyone waits outside at the end of the night. Everything in between is comparatively forgiving. We build the plan from those two points backward.
A typical Cupertino wedding runs hotel pickups an hour or more before the ceremony, holds a vehicle during the event if the venue requires a ceremony-to-reception move, and then runs continuous returns from the last dance until the venue clears. The return window — not the arrival — usually determines vehicle count.
Hotel shuttles and multiple pickup points
Guest blocks in the Cupertino area are frequently spread across several properties. Hotels commonly used by wedding guests include the Juniper Hotel Cupertino, Hyatt House San Jose / Cupertino, Residence Inn San Jose Cupertino, Courtyard San Jose Cupertino, Aloft Cupertino, Hilton Garden Inn Cupertino and the Cupertino Hotel. We provide transportation to and from these properties; we are not affiliated with them.
Two or three hotels within a few minutes of each other can usually be sequenced on one vehicle. Properties further apart, or blocks with uneven guest counts, are better served by separate vehicles on parallel timelines so no group sits through two extra stops.
Ceremony, reception and wedding party movements
Ceremony-to-reception transfers are short but tightly timed, and they usually overlap with photography. A separate Sprinter van or small executive shuttle for the wedding party keeps that schedule independent of guest movements, so a delayed photo sequence does not strand forty guests at a curb.
Rehearsal dinner transportation and after-party transfers are quoted as additional segments. Where the after-party is at a hotel in the guest block, the return loop often doubles as the after-party shuttle.
Venue access in Cupertino, Saratoga and Los Altos Hills
Hillside and estate venues around Saratoga and Los Altos Hills frequently cannot accept a 45-foot motorcoach: narrow approach roads, tight switchbacks, low branches and limited turnaround space. A 25 or 33 passenger shuttle bus running two trips is often the practical answer. We confirm vehicle access with the venue before committing to a plan rather than discovering the constraint on the day.
Vehicle capacities and dimensions are on the fleet page.
Continuous loops versus fixed departures
A continuous loop is the right choice when guests leave gradually and the drive is short — the vehicle simply runs until the venue clears. Fixed departures work better for longer drives, where two or three announced departure times let guests plan and keep the vehicle from running half-empty. Many weddings use fixed departures for arrivals and a continuous loop for returns.
