Conference transportation across multiple days and venues
A convention transportation plan is really several plans stacked together: arrival management at SJC or SFO, daily hotel-to-venue loops with sharp peaks around keynote sessions, evening offsite movements, and a departure day that runs opposite the arrival pattern. Each has a different peak and a different vehicle requirement.
We provide transportation to and from regional venues including the Santa Clara Convention Center, San Jose McEnery Convention Center, Levi's Stadium, SAP Center and Silicon Valley corporate conference facilities. We are not affiliated with these venues.
Hotel loops and stop sequencing
With several hotels in a room block, the decision is whether to run one loop through all properties or assign vehicles to individual hotels. One loop is efficient when the hotels are close and blocks are small; dedicated vehicles win when a single property holds most of the attendees or sits several miles from the others.
Loading points matter as much as routing. Hotel porte-cocheres often cannot hold a 45-foot coach without blocking arrivals, which is why many conference loops run on 33 to 40 passenger shuttle buses. See the fleet page for capacities.
Peak management and headways
Conference ridership is not evenly distributed. The thirty minutes before a keynote and the thirty minutes after a closing session carry most of the demand, and a plan sized for the daily average will fail at both ends. We size the fleet to the peak, then reduce vehicles during the midday plateau where the program allows.
Moving 100+ attendees between hotels and a venue
For movements above about a hundred people, the boarding area becomes the constraint. We stage vehicles so the queue never exceeds one vehicle's capacity, use announced departure waves rather than open boarding, and assign a dispatch contact who can add or re-sequence runs while the movement is in progress. Related planning is on the event shuttle transportation page.
